Terms of Service

1. What the Service is

HaulCount is bookkeeping software for trucking businesses. It helps you record loads, expenses, receipts, miles, documents and reminders, and it produces summaries from the information you enter.

The Service is not tax, legal or accounting advice, and we are not your accountant, tax preparer or attorney. Figures such as per diem, tax set-aside, cost per mile and IFTA summaries are estimates calculated from your entries and from default values you can change. You are responsible for reviewing them and for what you file with the IRS, your base state or any other agency.

Reminder dates for filings such as IFTA, Form 2290, UCR and estimated taxes are provided as a convenience. Deadlines can change or move for weekends and holidays. Always confirm the date with the agency before relying on it.

2. Your account

You must be at least 18 years old and provide accurate information. You are responsible for keeping your password confidential and for activity in your account. Tell us right away if you believe someone else has accessed it.

3. Free trial, price and billing

New accounts include a 30-day free trial with no credit card required. After the trial, continuing to add records requires a paid subscription: $19 per month or $190 per year, plus any applicable taxes.

Subscriptions renew automatically at the end of each billing period, at the price shown when you subscribed, until you cancel. You can cancel online at any time from Settings, Manage billing. Payments are processed by Stripe; we do not store your card number. If we change the price, we will notify you by email before your next renewal.

4. Cancelling

You can cancel at any time from Settings. Cancellation takes effect at the end of the period you already paid for. We do not give refunds for partial periods unless the law requires it.

After a trial or subscription ends you can still log in, view your records and export or delete them.

5. Your data

The records, receipts and documents you upload are yours. You give us permission to store and process them only to operate the Service for you. You can export your data or delete your account at any time from Settings.

You are responsible for having the right to upload what you upload, and for keeping your own copies of records you are legally required to retain.

6. Automatic receipt reading

When receipt reading is available, the image you upload is sent to an artificial intelligence provider to extract the vendor, date, amount and similar fields. The result can contain errors. Check every value before saving it.

7. Acceptable use

Do not use the Service to break the law, upload malicious files, access another person's data, overload or probe our systems, or resell the Service without our written permission. We may suspend accounts that do.

8. Availability and changes

We work to keep the Service available and your data safe, but we do not promise it will be uninterrupted or error free. We may add, change or remove features. If we discontinue the Service we will give you reasonable notice and a way to export your data.

9. Disclaimer and limit of liability

The Service is provided "as is" without warranties of any kind, to the extent the law allows. We are not liable for taxes, penalties, interest, late fees, lost profits or other indirect losses arising from your use of the Service or from figures or reminders it shows.

To the extent the law allows, our total liability for any claim is limited to the amount you paid us in the twelve months before the claim.

10. Changes to these terms

We may update these terms. If a change is significant we will notify you by email or in the app before it takes effect. Continuing to use the Service after that means you accept the updated terms.
